How to split a mail merge PDF into separate files

  1. 1

Drop in the merged PDF from your mail merge. Word, Google Docs, or anything else that produced one long document works fine.

  2. 2

Tell it how many pages each record takes. A one-page letter is 1; a two-page certificate is 2. You will see how many files it will create.

  3. 3

Optionally paste a list of names (one per line), or drop in the CSV you merged from and set a filename pattern from its fields, like {{ First Name }} {{ Last Name }}.pdf. Each output file is named from its row.

  4. 4

Click split. Every document is cut and named on your device, then downloaded together as a ZIP.

Frequently asked questions

How do I save a mail merge as individual PDF files?
Finish the merge in Word or Google Docs as usual, print or export the result to a single PDF, then split that PDF here. Set the pages per document to match one record (for example 1 for a one-page letter), add your name list if you want named files, and download the ZIP of separate PDFs.
Word only gives me one big PDF. Can I split it into one file per letter?
Yes. That is exactly what this tool is for. Word’s mail merge produces one long document with every letter back to back. Open it here, choose how many pages each letter takes, and you get one PDF per letter.
Can I name each PDF from my spreadsheet?
Yes. Paste a list of names (one per line), or drop in the same CSV you used for the merge. Its fields appear as buttons, and you build a filename pattern with placeholders, like {{ First Name }} {{ Last Name }}.pdf or Invoice-{{ Invoice Number }}.pdf. Files are named in row order: the first document gets the first row, and so on. Duplicate names get a -2, -3 suffix so nothing is overwritten.
Are my documents uploaded to your server?
No. The PDF is read, split, renamed, and zipped entirely in your browser using JavaScript. It never leaves your device. That matters for mail merges, which are usually full of names, addresses, and other personal data.
What if the number of names doesn’t match the number of documents?
You will see a warning before splitting. Extra names are ignored. If the list is short, the remaining files fall back to numbered names like document-007.pdf. Nothing blocks you: fix the list or continue as you prefer.
My records aren’t all the same length. Can I still split?
This tool splits every fixed number of pages, so records need a consistent length. If some records run longer than others, generating the documents separately in the first place is the cleaner fix. That is what SheetRender does: one polished PDF per spreadsheet row, whatever length each row needs.

Need one PDF per spreadsheet row?

Splitting a merged PDF after the fact works, but it is a workaround. SheetRender starts from your spreadsheet and one example document, designs the template for you, and generates a correctly named PDF for every row. No merge step, no fixed page counts, and it can email each PDF to its recipient too.
